    Department-Specific Responsibilities

    Under the direction of the Executive Director of Enrollment Services, leads the financial aid and veteran services operations at Indiana University East.
    Operates as Indiana University East's Chief Financial Aid Officer and is responsible for organizing, administering, managing, and evaluating a comprehensive financial aid office and designated outreach programs to current students and other University constituents.
    Provides the day-to-day management and leadership necessary for the effective administration of Title IV student financial aid programs, scholarships, veteran's benefits, and financial literacy initiatives; ensures highest quality of service to students, families, and other constituents in relation to financial aid matters.
    Takes a leadership role in collaboration with other offices, committees, and individuals in formulating services, outreach, and policies and practices, in respect to financial aid opportunities.
    Builds and maintains strong relationships with units such as Admissions, Advising, Finance, Gift Development, Red Wolf Central, and Student Records.
    Manages the daily operations of the financial aid office, including training, supervising, and evaluating professional and support staff.
    Supports staff in their various roles of intake, analysis of student financial need, file review, record maintenance for auditing, implementing, awarding, and monitoring federal, state, and institutional financial aid programs, including work-study and other activities.
    Interprets federal regulations, guidelines, and professional literature on financial aid; Informs financial aid staff of changes, modifications, and interpretations resulting from new or current legislation so federal and state, grant, employment, and loan awarding is completed within specific program tolerances.
    Monitors students and faculty-staff members level of satisfaction about the quality of customer service accorded individuals visiting, calling, or corresponding (written or electronic), make recommendations for improvement, when and where warranted.
    Provides leadership and direction in the maintenance and implementation of computerized systems.
    Delivers financial aid efficiently.
    Monitors expenditures accurately.
    Ensures compliance with current rules and regulations.
    Provides statistical information and routine reports as needed by campus executive leadership in partnership with Institutional Analytics (IA).
    Partners with IU University Enrollment Services (UES) to facilitate financial aid processes.
    Serves as account manager for general, scholarship, and federally funded accounts. Develop and submit annual budget recommendations.
    Monitors, verifies, and reconciles expenditures; maintain statement of accounts and IU Foundation statements; assist with the transfer of funds each semester from IU Foundation accounts into proper university accounts to cover award expenditures.
    Oversees the processing of all institutional scholarships, including the review of applicant eligibility and the maintenance of an electronic scholarship tracking system, and serves on the Scholarship Committee and Study Abroad Committee.
    Ensures the fiscal integrity of all students financial aid records; supervises the design and production of reports to continually monitor fiscal accuracy and integrity.
    Designs and produces reports to reflect various fiscal activities and their impact on students, as well as the campus.
    Performs data analytics and trend analysis, keeps campus executive leadership informed on growing trends to assist in scholarship award evaluation for future students.
    Conducts annual assessments of scholarship awarding policy and procures and make recommendations for standardized issuance of awards.
    Presents annual scholarship awards updates each semester to campus executive leadership.
    Completes and maintain the U.S. Department of Education Financial Aid Participation Agreement (E-App), along with timely submission of all.
    Other necessary participation agreements related to specific federal and state, grant and loan programs.
    Manages and supports various audits and other review process of programs, policies, and processes.
    Designs and conducts research to assess the effectiveness of current financial aid program administration.
    Provides a basis for strategic planning efforts affecting future initiatives.
    Develops and implements outreach activities, including the support of financial literacy, both on- and off-campus, to provide the effective use of student financial aid by various constituencies; work with University Advancement to encourage and assist development of new endowed and donated scholarships.
    Leads and participates in all Red Wolf Central recruiting events and student information sessions.
    Provides training and support for Red Wolf Central staff and routine performance improvement evaluations for Red Wolf Central processes in relation to financial aid and scholarships.
    Performs other related duties as delegated or assigned by the Executive Director of Enrollment Services.
    Supervision received: Executive Director of Enrollment Services (direct report), University Director of Financial Aid and Scholarships (dotted line).
    Supervision given: Financial Aid and Scholarships Coordinator, Specialists, and Veteran Services Coordinator.
    General Responsibilities

    Provides highest level of operational leadership and coordination of assigned staff members to define financial aid/scholarships methodologies and standards; provides direction and guidance on high priority financial aid/scholarships projects/initiatives.
    Establishes short-term business plans and long-term operational objectives, including managing project timelines/deliverables and developing resource plans for multi-project/multi-phase financial aid/scholarships initiatives.
    Conducts a variety of personnel actions to include, but not limited to hiring, promotion, performance management, and dismissal.
    Manages high level assignments and allocation of financial aid/scholarships resources, including negotiating and coordinating initiatives that involve staff in other departments/areas/teams; may coordinate large-scale financial aid/scholarships projects with a wide audiences in support of academic initiatives.
    Makes budgetary recommendations/proposals based on resource needs and ensures cost containment.
    Researches and stays up-to-date on new industry financial aid/scholarships standards, technologies, policies, and procedures.
    Responsible for the implementation of new protocols/procedures to address business needs.
    Works collaboratively with other financial aid/scholarships leaders across departments in recommending standards, best practices, and related policies/procedures.
    Prepares management reports and summaries for senior administration, executive, steering and advisory committees.
    Acts as advisor to executive committees.
    Serves on various university committees, communities of practice, and task forces related to financial aid/scholarships.

    Combinations of related education and experience may be considered. Education beyond the minimum required may be substituted for work experience. Work experience beyond the minimum required may be substituted for education.



    EDUCATION

    Bachelor's degree in business, public policy, or related field
    Preferred

    Master's degree in related field
    WORK EXPERIENCE

    Required

    4 years in student services, enrollment management, higher education student affairs, or related field
    1 year of management experience in relevant field
