Minimum Qualifications
Two years of experience in administrative services.

Job Duties and Other Information
The mission of the School of Biological Sciences is to promote student and faculty professional growth and development through the integration of teaching and research. The School of Biological Sciences contributes to the biological literacy of all students, advances biological knowledge, and is a resource for the state, region, and nation. Below are listed the permanent duties, including the additional duties associated with the acquisition of a new academic program in the School of Biological Sciences.
Maintains accounting records, files, and purchase orders; confirms requisitions and communicates with receiving department regarding orders and requisitions. Maintains and controls policies and procedures relative to purchasing within the School. Places work requests for maintenance with Buildings and Grounds and Technical Services as needed. Maintains records of all lab charges, including printouts, ledger books, and reconciling.
Directly supervises clerical assistants/student workers, including work duties, interviewing, security access, hiring, maintaining time sheets, paycheck distribution, and maintenance of disciplinary actions. Indirectly supervises other clerical assistants for the School of Biological Sciences by maintaining time sheets, security access, paycheck distribution, and maintenance of disciplinary actions.
Processes travel authorizations and travel expense reports and forwards to appropriate departments. Processes and forwards corporate credit card statements. Processes petty cash and check request forms.
Coordinates work and communication between faculty in the School of Biological Sciences and the Director, including: maintaining office files, greets students and other visitors, and discusses ways to improve communication and office procedures. Attends appropriate staff meetings and other University meetings as called upon.
Maintains and orders supplies for office, faculty, classes, and laboratories, through state contracts or appropriate bidding procedures.
Coordinates advertisement of vacant faculty positions by assisting with correspondence relative to Affirmative Action requirements and assisting with arrangements relative to interviews. Aids faculty with policies and procedures with the School, as well as with orientation to the University
Monitors use of copier, paper, and toner supplies. Arranges for service to copier when needed. Processes reports and/or accounts associated with copier rental/purchasing and usage. Maintains records and assists with student activities related to the School.
Coordinates work and communication between faculty in the School of Biological Sciences and the Director, including screening daily phone calls, greeting students, scheduling appointments/meetings, sorts and distributes mail and discusses ways to improve communications, office procedures, and other pertinent information needed for faculty, staff and students.
Manages student records, curriculum sheets, submission and monitoring of transfer credits, assignment of academic advisors, and review of degree candidates. Works closely with director to monitor student progress through degree programs in the School of Biological Sciences.
Any other various duties as assigned by the Director.

Work Schedule: The typical work schedule for this position is Monday-Friday, 8am to 5pm.
Hourly Rate: $13.77
