The Department of Orthopaedics at West Virginia University is currently accepting applications for an Administrative Secretary Senior position.
About the Opportunity
This position is responsible for ensuring efficient and complete collection of Patient Reported Outcome Measures (PROMs). Accurate and complete patient reported outcomes provide quality data for analysis and publication and generates information that can be used to improve patient care.

What You'll Do
• Assisting patients in accessing and completing Patient Reported Outcomes (PROMs) collected for their specific service which can be completed in several ways: phone calls, MyWVUChart messages, and/or in person. Ensuring that outcomes questionnaires are completed prior to discharge from clinic. Providing basic troubleshooting for tablets and readily communicate issues as identified.
• Scheduling PROMs appointments through the electronic medical record for patients in multiple clinics and communicating this appointment with patients via phone calls or MyWVUChart. Reporting on collected PROMs from multiple clinics on a weekly basis. Working with front desk staff at multiple clinics helping to troubleshoot and collect PROMs.
• Participating in study work group meetings. Contributing with observations and feedback for improvement of duties and processes. Assisting in manuscript preparation and submission.
• Completing data collection and recording for study participants in the Spine Services at the Spine Center; coordinating study related activities with study investigators, physicians, site coordinators, and department personnel as relevant to conduct of study. Completing required study documentation in a timely manner. Conducting research activities in an economically efficient manner and within budgetary constraints.
• Recruiting patients/participants for spine clinical research studies; consenting patients/participants; collecting demographic information. Managing multiple projects/protocols concurrently in a dynamic environment.
Pay Grade: 12
Qualifications
A minimum of 18 months of education beyond high school.
A minimum of two (2) years of related experience
Any equivalent of combination of related education and/or experience will be considered.
All qualifications must be met by the time of employment.
Knowledge, Skills and Abilities
Candidate must be organized, detail-oriented, and able to persistently follow-up with patients, physicians, investigators, and sponsors when needed.
Able to plan and schedule research activities as well as gather demographic and clinical data on study participants.
Candidate should be technologically facile with word processing, spreadsheets, and database computer skills and capable of preparing and reporting results of research activities.
Adhere to firm deadlines.
Position requires close communication with Principal Investigators, study participants, and members of the research team. Candidate will have frequent interaction with all members of the research team and must be able to work as a team member, as well as independently.
Position requires the ability to protect participant confidentiality and maintain composure when handling sensitive issues. Also required are advanced oral and written communication skills in order to interact appropriately with members of staff, research team, and funding sponsors.
Candidate must ensure compliance of all individuals associated with clinical research, through training, guidance, and example.
Preferred Qualifications
Bachelor’s degree preferred.
Experience in medical terminology and database design preferred.
