    Reporting to the Chief of Staff, serves as key advisor to and acts on behalf of the Chief of Staff providing critical and high-level support to optimize time. Assists the Chief of Staff in the management of the day-to-day operations of the Office of the Provost.



    KEY RESPONSIBILITIES:

    Coordinates events, programs, and special initiatives sponsored by the Office of the Provost and supports preparation for major institutional meetings, leadership convenings, and engagements involving the Provost.
    Partners with communications and university partners to ensure events are well organized and aligned with institutional priorities.
    Assists in managing requests for the Provost's participation in events and speaking engagements.
    Establishes and maintains effective practices, processes, policies and quality control measures to identify best practices and efficiencies.
    Provides integrated policy analysis and strategic consultation to the Chief of Staff and senior administration on major issues affecting the university.
    Coordinates the Provost's Leadership Team meetings and retreats by conceptualizing the agenda, recommending speakers, identifying priority items from minutes, and managing follow up.
    Coordinates the Council of Deans meetings and retreats by conceptualizing the agenda, recommending speakers, identifying priority items from minutes, and managing follow up.
    Serves as liaison on various committees on issues that arise where the Office of the Provost needs representation, with other offices inside and outside the University, and carries out special projects as assigned by the Chief of Staff.
    Creates and manages a system for program sponsorship requests from the Office of the Provost.
    Acts as liaison and representative of the Office of the Provost with senior administration, faculty, staff, students, potential donors, and outside individuals/organizations in responding to requests and resolving problems.
    Assembles other key staff or faculty who may be in possession of information necessary for the Provost's preparation for high level meetings.
    Tracks action to ensure follow-up and resolution of issues for the Chief of Staff, as well as creating issue status reports for the Provost.
    Interprets requests and helps implement appropriate action, often determining whether Chief of Staff should be notified of important or emergency matters.
    Carries out complex duties and responsibilities involving deep knowledge and application of University policies and procedures that require independent judgment in the determination of actions to be taken as appropriate.
    Provides recommendations to the Chief of Staff for operational and administrative challenges and follows through to implementation.
    Oversees the development and maintenance of electronic information systems.
    Oversees coordination of facilities and space planning for operations and staff reporting to Chief of Staff.
    Regularly handles information of a highly confidential and sensitive nature.
    Communicates regularly with high-ranking individuals inside and outside the University.
    Coordinates integrated planning and processes such as administration, safety, contingency, growth, space, disaster, finance, etc. ensuring compatibility with university policies.
    Examines workflow and revises processes to improve efficiency.
    Performs related responsibilities as required.
    MINIMUM QUALIFICATIONS:

    Master's degree and seven years of progressively responsible administrative experience, preferably in higher education administration, OR an equivalent combination of education, training and experience.
    Strong organizational, administrative, and interpersonal skills.
    Extensive project coordination experience.
    Strong judgment and ability to manage competing priorities.
    High level of discretion and professionalism when handling confidential matters.
    NOTE: This role will be granted the opportunity to work from home regularly but must be able to commute to Emory University on a flexible weekly schedule based upon business needs. Schedule is based on agreed upon guidelines of department. This role requires residency in the state of GA. Emory reserves the right to change remote work status with notice to employee.
