Job Summary
The College of Literature, Science, and the Arts (LSA) Facilities and Operations Department is seeking an organized and detail-oriented Administrative Professional with excellent interpersonal skills and a high level of emotional intelligence to support the dynamic Facilities team. This position plays a crucial role in supporting the LSA FO Director, ensuring operational efficiency, effective communication, and seamless departmental, as well as interdepartmental collaboration.
The successful candidate will be a systems thinker, a confident communicator, and a team player who thrives in a fast-paced, service-oriented environment, consistently demonstrating professionalism and a proactive approach to building strong working relationships. This is a primarily on-site position with traditional working hours, Monday through Friday. Some hybrid or flexible hours may be available. The position reports to the LSA Facilities and Operations Business Manager and is a key contributor within the broader LSA Facilities & Operations team.

Responsibilities*
1) Administrative Operations
The Administrative Specialist supports the LSA Facilities & Operations team by managing calendars, meetings, travel, purchasing, and event logistics, while ensuring accurate documentation and compliance. They maintain departmental resources, coordinate space reservations, and serve as the main point of contact for office operations.
2) Operational Effectiveness
This role enhances operational effectiveness by identifying and implementing more efficient, automated workflows using AI tools and emerging technologies. With a focus on reducing manual tasks and increasing productivity, the Administrative Specialist will help modernize operations to meet the evolving needs of the LSA Facilities Office.
3) Access Management
The Administrative Specialist manages the access control system for LSA buildings (Mcard, CCURE, and key access), coordinating schedules, handling access requests, and ensuring secure permissions. They also run CCURE audit reports to align access rights with departmental needs and university policies.
4) Work System Management and Communications
The position also manages the triage and workflow of LSA Facilities requests in TeamDynamix, ensuring timely response and clear communication with requestors. They also handle daily email communications, share policy updates, and collaborate across departments to support consistent and effective administrative practices.
